General: Step-By-Step Guide on What to Do After Changing Your Company Address

When changing your company address, you can’t move to a new place and use a new address right away. Instead, you need to tell government organizations, non-government organizations, banks, and your customers about your new address.

In this article, we will guide you through all you need to do, and which documents you need to change your company’s address.  

Note that the required documents depend on which branch you’re dealing with. You should check with each organization before submitting.  

After you update your company address, you should still check your old office during the first two years after your move. Some people might still send mail there.  

Revenue Department

If you’re a VAT-registered company, the Revenue Department is the first organization you should deal with. Under Revenue Department rules, a VAT registrant should file Form P.P.09 before changing the place of business, generally at least 15 days before the change.  

In practice, it’s difficult to do so. The Revenue Department requires many documents related to your new address. Most of the time you get all those documents once you move there.  

Until the Revenue Department approves the change, check with your accountant or your local Revenue Department office before issuing tax invoices, receipts, and withholding tax certificates, since tax documents should match your registered address.  

You can use your new address once everything with the Revenue Department is completed.

If you don’t update your address with the Revenue Department, you can face penalties and tax problems.  

Here are the documents you need to update your company address with the Revenue Department:

  1. 3 sets of P.P.09 forms* — they can be downloaded from the Revenue Department website 
  2. VAT Registration Certificate (P.P.20) and a signed copy 
  3. signed copy of the passport of all directors authorized to enter signatures binding the company (a passport detail page and the page containing the valid non-immigrant visa)
  4. signed copy of the work permit of all directors authorized to enter signature binding the company 
  5. signed copy of the company registration issued no longer than six months ago
  6. power of attorney with 10-baht stamp (if the authorized director isn’t present)
  7. map of the new office
  8. picture of the new office including:
    1. office building   
    2. office room with company signage
    3. workspace inside an office 
  9. evidence of the new office including*:
    1. rental contract including a copy of ID card and house registration of the owner
    2. letter of consent 
    3. house registration of the new office 
    4. map of a new office   

*This set of documents is prepared by your office provider. They might charge a few thousand baht for this.  

Remarks:

  • The moving and filing date of P.P.09 should be left empty and only filled in when advised by a Revenue Department officer.  
  • All copies must be signed by the authorized director and stamped with a company stamp. 
  • The new VAT Registration Certificate should be sent to the new office within 30 days.

Where to Do It

Go to the Revenue Department in your company’s area. If you move to a new area, you need to first inform the Revenue Department in your old area. Once it’s done, you need to file the same set of documents with the Revenue Department in the new area.  

Department of Business Development

Once you’re done with the Revenue Department, it’s time to update your address with the Department of Business Development.  

It’s recommended to do it as fast as possible since you need to get an updated company registration with the new address from them. This updated company registration is required for updating your office address with every other organization.  

A major requirement for updating the address in person with the Department of Business Development is that the director authorized to enter the signature binding the company may need to be present and sign in front of the officer.  

Otherwise, you need to ask your company auditor to do it. They charge a few thousand baht for this.  

Here are the documents you need:

  1. BOJ 1   
  2. company registration form
  3. BOJ 4
  4. map of a new office
  5. signed copy of the passport of all directors authorized to enter signature binding the company (a passport detail page and the page containing the valid non-immigrant visa) 

If the authorized director isn’t present, you also need:

  1. power of attorney document set with a 10-baht stamp 
  2. copy of the auditor’s ID

Where to Do It

Any Department of Business Development office in the province your company is located in.  

Social Security Office

Once updating the company address with the Department of Business Development, you need to inform the Social Security Office by the 15th of the next month.  

Here’s what you need:

  1. SPS 6-15 form, which can be downloaded here
  2. the updated company registration with new address
  3. signed copy of VAT Registration Certificate with a new address—in case you’re still waiting for it, you can use the document receipt from the Revenue Department
  4. map of a new office
  5. power of attorney document set with a 10-baht stamp if the authorized director isn’t present 

Where to Do It

The Social Security Office in your company’s area. If you move to a new area you need to file the document with the Social Security Office in your old area. They will transfer your info to the Social Security Office in the new area for you.  

Board of Investment

In case your company is promoted by the Board of Investment, you also need to tell them about it.  

Here’s what you need:

  • BOI promotion certificate—send the original, blue hardcover file
  • an office letterhead informing the BOI about your new address—there’s no form for this, you need to do it yourself
  • the updated company registration with new address

Once the documents are filed, a BOI officer will tell you the date you can get the BOI promotion certificate with the updated office address. It should be within a few days.  

Where to Do It

Ministry of Labour  

You also need to update your company address on the work permit for you and your expat employees.  

To do this, you need to download the TT6 form from Ministry of Labour and prepare all documents as stated there.  

If you’re a BOI-promoted company, you can do it at the One-Stop Service Center. For non-BOI companies, you can do it at the Department of Employment office responsible for your workplace.  

BOI-promoted companies that use digital work permits should update their addresses online at Single Window for Visa and Work Permit.

Banks

Once you’re done with government organizations, it’s the time to deal with banks. You don’t want them to send your financial info to your old office.  

You may need to update the address with the bank branch you opened an account at.  

Each bank has different requirements and documents. You should check with them.  

Certain banks require the authorized director to be present when applying or signing documents.  

But it may be possible to negotiate with them to take the documents, have them signed, and return them later. “Currently the authorized director isn’t in Thailand” is a good reason.  

Other banks may accept a power of attorney, so the authorized director won’t need to be there.  

Here’s what you need:

  1. meeting notes mentioning your new address and account number—notes should have the precise wording as required by banks 
  2. the updated company registration with new address 
  3. bank passbook
  4. bank form

However, you need to prepare all the documents mentioned above for each account. If you have three bank accounts, two credit cards, and one online bank account, even at the same bank, you need to prepare six sets of documents.  

Service Providers

Once you are done with all the steps above, now it’s the time to inform service providers.

Here’s what you need:

  1. the updated company registration with new address
  2. the service provider’s application
  3. power of attorney document set with a 10-baht stamp if the authorized director isn’t present
